What do TV news outlets and Ellen DeGeneres have in common? They both use Skype to interview guests. So why shouldn’t association professionals?

By now you know that creating video is an excellent strategy for bringing attention to your association. Video is an important communications tool to further your nonprofit's cause, market to prospective members or engage existing ones.

Skype is a relatively easy way to produce content in-house without hiring an expensive video production crew. By installing a free or inexpensive third-party plugin, Skype can record all parties involved (with their permission). Recordings of interviews or panel discussions can be repurposed as on-demand webinars to be viewed later.

Case Study
One of our clients, the Control System Integrators Association (CSIA) has a certification program, attained at the company level. The certification demonstrates proficiency in the best practices of the system integration profession. One of the goals of the organization is to promote CSIA Certification to the degree in which prospective clients require that only CSIA Certified system integrator may submit a bid. The more their clients understand what CSIA Certified means, the more likely they are to do this. 

One way we encourage clients to “spec-in” certification is to conduct video interviews of our Certified members discussing how requiring a certified integrator can reduce risk and increase efficiency for the client’s operation.

This comes with some major challenges.
1. CSIA does not have the budget to send staff to 400 member offices to capture this content.
2. Our members do not have budgets to allocate to video production crews.
3. Nor do not have the time or resources to produce or edit a video themselves.

With a little planning, a solid internet connection, decent lighting, and great audio, we have learned to create, edit and publish these interviews on our YouTube channel and public website.

Techniques
Interviews may be conducted in one of two different styles:

Confessional: In this format, the interviewer is off camera and not heard in the final version of the interview. The viewer only hears and sees the subject of the interview. This requires more editing so that the final video contains the “parroting” of the questions along with the answers. This is a technique used in many reality TV shows; a producer debriefs the “contestant,” but you only hear the interviewee speaking.

Side-by-Side: Show one to four subjects in the interview on one screen with as many as 10 participants. The latter may look a bit like the old game show “Hollywood Squares” but could be interesting if you carefully coordinate who speaks, when.

Audio Podcast
You could also repurpose the audio from the Skype call into an audio-only version and turn it into a podcast. In a slide-less discussion, listeners can enjoy the interview while multitasking or commuting.

Software Solutions
There are many third-party software plugin solutions for recording the call, for both Mac and Windows. Many have free or limited trials, or licensed versions for only $20 or $30. 

Conclusion
Conducting a recorded Skype interview or panel discussion is easy to set up and conduct. The best thing is that the final product can be used by other departments in your association, from marketing, education, and even the board.

webinars

Webinars are great for connecting with existing members or prospects. It can be a simple PowerPoint or a multifaceted Prezi with videos and live webcam feeds. I’ve co-paneled and hosted several webinars in conjunction with our client associations and put together some pointers that I believe will help make your next webinar a success.

1) Determine a topic that would be worth taking time away from work to watch.
Just because you can host a webinar on any issue or topic doesn’t mean you should. If you simply put together a few slides and read from a script to promote yourself, you won’t find many attendees. A great webinar will cover an important issue that many deal with. It should be educational, builds off the introductory slides, and benefits those attending. Don’t sell hammers – sell hanging pictures.

2) Practice.
A dry run is always recommended, especially if you’re co-paneling with someone else. Get name pronunciations down, pacing, who controls the slides, etc. It makes the webinar run far smoother.

3) Sign-on 20-30 minutes early.
Even with practice, there’s always the chance that technical difficulties or issues will arise. (As they usually do.) Plan on being signed on and ready to go at least 20 minutes in advance so you can work out the bugs and be ready for go-time.

A chat window allows attendees to ask questions throughout the webinar that you can return to at the end. If you have another person with you, they can answer questions while you continue with the presentation

That said, restrict it to typed questions only. An open mic results in attendees who aren’t familiar with the mute button, and I have listened to someone eat during a webinar. It’s not pleasant.

5) Always have a follow-up plan.
After the webinar, debrief on how it went and what the next steps are. You have a list of those who registered and attended — make sure you follow up. It can be a quick thank you email, or link to references made during the presentation, or even a recording of the webinar for future playback.

It’s back-to-school season, and even though I’ve been out of school for a while now, I’ve found myself doing a lot of studying lately. Two of the online programs I use on a daily basis have come out with new releases so I’ve been spending some extra time participating in training sessions, reading release notes and occasionally, just staring at my computer trying to familiarize myself with the new layouts and features. After using a program daily it’s easy to become comfortable with the way it looks and operates. I try not to get too comfortable though. One thing I’ve found is that, even in the absence of a new version's release, there is always something to learn. Here are some of the ways I stay up to date with our frequently used programs.

Participate in training webinars. Anytime a training webinar is offered I make sure to listen in. I find these webinars to be extremely useful. They usually focus on one topic at a time so they’re not overwhelming. Most are scheduled to last an hour or less so they’re easy to fit into the schedule. The best part is they’re usually archived so I can always go back to them for reference.

Take advantage of the online support community. I log in to the online support communities that are set up so I can check for new tech support documents and learn about any upcoming training sessions. I also take a few minutes each day to read through the daily emails that arrive in my inbox overnight. These emails are compilations of daily support community activity. It can be very informative to see what other users are commenting on or issues they have run into.

Finally, one of my colleagues had the great idea to establish a how-to file. Anytime we learn a new procedure it is documented with quick step by step instructions and (when applicable) screen shots. Anytime I encounter an issue, the first place I look is the how-to file. When a new release comes out or a procedure changes we just update the existing instructions. The how-to file is a great resource for everyone in the office and a real time-saver!

I’ve found that these resources really help me stay up to date and provide me with the information I need to keep using technology programs effectively. How about you? Do you have any tips for staying up to date on technology and programs you use?
